Organising the AUE Annual Conference, Dinner and Exhibition


Each year, the Association of University Engineers (AUE) brings together delegates, exhibitors and retired members to network and enhance their knowledge and skills. Assured Events were briefed to organise this year's AUE Conference at the University of South Wales over a three day period. The objective of the event was to encourage university engineers to share knowledge and best practice between institutions, as well as meeting industry suppliers.

When planning an Association conference such as this, there's no escaping the fact that, the main challenge was to find the right balance between the exhibition time slots and the conference sessions, as well as the networking events that took place outside of the formal programme.

Over the course of the three day event, Assured Events answered the time-related challenges by having all refreshment breaks and lunches in the main exhibition hall. The catering points were positioned around the room in order to encourage the flow of delegates to all of the stands. An exhibition quiz also ensured delegates visited more stands, answering specific exhibitor questions in order to be entered into a prize draw.

Networking opportunities were also encouraged outside the exhibition space, for example at the informal dinner and Gala Dinner. The informal dinner on the first evening was held on site at the University of South Wales where attendees enjoyed some classic British games, as well as participating in live ice sculpting.

On the following evening the Gala Dinner was held at the National Museum in Cardiff. Guests were first directed through the museum's galleries into the drinks reception, before entering the Great Hall for dinner to the impressive sound of the Trechory Male Choir. Mirrored table tops and dramatic acrylic candelabra centre pieces, as well as up lighting all the columns in the space, had great impact as guests entered the room. Magic and mind play acts entertained guests at the tables during dinner, before the evening was rounded off with a motivational and inspiring speech by Richard Parks, the former Wales international rugby union player turned extreme environment athlete!

Although based in Manchester, we work with clients helping them to plan their conference or incentives all over the UK.

Assured Events had taken this event to new heights and we are already working on the 2016 event!

I get to the office at 08:45am and start replying to all my emails and check the office voicemail. There's a lovely 'urgent' message from someone who's concerned about our payment protection insurance, as well as a call from one of our clients in Berlin, asking us to change the appointment for his transfers, as his flight is late.

After making a brew, I always log a little time on Twitter and Facebook and check the newest updates in the industry. Today, I had a look at new upcoming incentive destinations… It looks like Dubai has launched a new destination brand and logo in support of its goal to become the world's most visited city.

Next, I have an event to design. I need to focus on preparing the proposal today and putting together a quotation before it is approved by Steph. I have to find the right hotel that will accommodate 200 people for an overnight stay and a conference.

The doorbell rings… I am looking at my diary and I am sure that we have nobody scheduled in for today. I answer; it is a financial advisor who thought he may be able to 'help' the business… We have a short chat and then I am back on my venue research. So far, I have sent out twenty-five emails… Time to tweet about our exciting invitation to Hotel Football tonight.


Lunch time!

02:00pm and I get a call from a client that wants to add an extra person to the incentive trip tomorrow morning! I grab the phone and try to get in touch with the reservation team from EasyJet to ask about availability on the trip. Five emails later, everything is sorted! Phew! I managed to do it....

Now, I have to continue writing the conference brochure… I started it yesterday, but I was waiting for some of the sponsors to send me their profiles' description. I am tweaking it before sending it to everybody else to proof read and…

05:30pm, really? When did that happen? Mad rush to pack up my desk, we're due at the summer party at Hotel Football in the city and if we don't get out of the office in the next five minutes we'll be late. VERY excited for those mini BBQ treats!!! They are going to get some attention!
